Accounting automation: from sale to i.SAF

Sales, cash receipts and purchases go from the business management system to a cloud accounting platform automatically – once each, and ready for i.SAF and the VAT return.

The process was tested on a full month of real data.

The task

Every sale, cash receipt and supplier purchase in the business system had to reach the cloud accounting platform with no manual entry, ready for i.SAF (the Lithuanian register of VAT invoices) and the VAT return – and running it again had to be safe.

The solution

One sale, one document

Each real sale maps to exactly one document: an invoiced sale becomes a sales invoice, and a sale without an invoice becomes a cash receipt.

Purchases

Completed deliveries from suppliers become purchase invoices, with VAT chosen by the supplier's country – domestic, EU acquisition or non-EU. If the supplier's country is unknown, it isn't guessed: the document is held.

Safe to run again

  • The source record's id is the external key, and the status is checked before anything is posted.
  • Only one run happens at a time.
  • A dry run shows the status of each row before anything is filed.
  • Every filed document is reconciled against the source, with a label saying where a difference would land: i.SAF and the VAT return, i.SAF only, or the ledger only.
  • A scheduled sweep works month by month, so a closed month never blocks the current one, and one bad document never stops the rest.
How sales and purchases reach the books
  1. From the business system – one document each

      1. A sale with an invoice

      2. Sales invoice

      1. A sale without an invoice

      2. Cash receipt

      1. A completed goods receipt from a supplier

      2. Purchase invoice

        VAT by the supplier's country

  2. Accounting system

Running it again creates no duplicates

  3. i.SAF and the VAT return

Reconciliation with the source

Every filed document is checked against its record in the business system

Results

  • Sales invoices, cash receipts and purchase invoices are filed automatically; the flow was rehearsed on a full month of real data.
  • Running a period again is safe.
  • 58 automated tests.
  • A dry-run preview shows the status of every row before anything is filed.
