CRM with a mobile app for your team

Enquiries, customers, proposals, orders, stock, tasks and invoices – in one system, while your staff see everything on their phones.

We don't start from scratch: we build on a platform already in daily use and adapt it to the way you work.

When your data is spread across different programs

  • Enquiries arrive by phone, email, the website and ads, and some of them get lost.
  • Nobody sees a customer's whole history: what they bought, what was agreed and what is still unpaid.
  • Staff away from the office work from memory and paper, so periodic maintenance easily slips.
  • Stock levels and invoices don't match the accounting records.

Step by step

  1. 1

The enquiry lands in the system

An enquiry from the phone, email, the website or an ad form is logged in one place and assigned to a manager.

  2. 2

    A proposal goes out

You build the proposal from your own price list, and the system reminds you if the customer doesn't reply.

  3. 3

    The order becomes a task

Once the customer agrees, the order is created without retyping, and a task comes with it.

  4. 4

    The work is scheduled

You plan tasks on a day plan, a calendar or a map, and the customer confirms the time from a link in an SMS or email.

  5. 5

The technician works in the app

The technician sees the task on the phone, records the work done, adds photos and the customer's signature – even where there is no signal.

  6. 6

The equipment goes into the register

Installed equipment stays in the site's history with its warranty period and next maintenance date.

  7. 7

    Invoice and payment

The invoice is issued from the order, the customer gets a payment link, and the documents go to accounting.

  8. 8

The system flags the next service

As the maintenance date approaches, the customer receives a reminder and the cycle repeats.

What the solution covers

  • Enquiries and sales proposals

Enquiries from every channel, each with its whole email conversation attached.

  • Customers and their sites

Contacts, addresses and the whole history of work and communication.

  • Orders and stock

Order progress and stock levels in warehouses and technicians' vans.

  • Tasks and scheduling

Day plans, a calendar and a map with every task.

  • Staff app

For iOS and Android phones, and it works offline too.

  • Contracts, invoices and payments

Invoices are issued from orders, and customers receive payment links.

  • Documents and parcels

Service reports and other documents are generated from the system's data, and courier parcels are booked in one step.

  • Customer requests

Every customer request has an owner and a status until it is done.

  • Reports and access rights

Reports for managers, while each employee sees only what their role allows.

  • Equipment register and maintenance schedules

Optional: warranties, service intervals and reminders.

Need a fully custom system? We build that too.

Where AI helps

  • AI recognises the customer's details and needs in an email and creates an enquiry from them (AI email analysis).
  • AI marks suspicious enquiries as spam but deletes nothing – a person decides (Leads into your CRM).
  • AI recognises supplier invoices received by email and prepares them for accounting (Accounting integration).
  • You can ask an AI assistant about customers, orders or debts in plain language – it connects to the system through an MCP server (MCP servers for accounting).
  • Conversations with the website's AI assistant are saved as enquiries (Websites with an AI assistant).

Integrations

Our principles

  • We don't start from scratch: the platform is already in daily use, and we adapt its fields, statuses, documents, roles and integrations.
  • We begin by going through how your company works: who does what, and when.
  • Your data is moved in before launch, so your customers and price lists are in the system from day one.
  • One team tries the system first, then everyone else.
  • We train your staff, and after launch we maintain the system and add new modules.
  • You can export all your data at any time.

Examples of our work

Field technicians' app that works offline

2023–2026

Tasks, customer sites, equipment, van stock and payments – on the technician's phone, even where there is no signal.

Developed continuously since late 2023, it syncs 33 data types to the phone.

Flutter / Dart, SQLite, Node.js / TypeScript, Server-Sent Events

Online shop with an AI assistant and a customer portal

2026Launching

A new website and online shop with an AI assistant: orders, enquiries and chats go straight into the CRM.

Every old address was kept or redirected, and AI chats enter the same enquiry pipeline as completed forms.

Scheduling service visits through SMS and email links

2026

When a service request is created, the customer gets an SMS or an email with a link to a page where they can confirm, decline or move the visit.

Customers can confirm or move a visit themselves from a link.

Questions and answers

Do you build the system from scratch?

No. We build on a platform already in daily use and adapt it to the way you work, so the system can go live sooner. If you need a fully custom system, we build that too – see the service “CRM and business management systems”.

Can we move our data over?

Yes. We move your customers, their sites, equipment, price lists, stock levels and open tasks. We check the data before launch so that work can carry on as usual from the first day.

Will the staff app work where there is no connection?

Yes. The app keeps its data on the phone, so work carries on without a signal, and the changes sync by themselves once the connection returns.

Describe how you work – we'll assess how to move it into the system

A few sentences are enough – we'll reply and talk through how we could help.
