Business process automation

Much of everyday admin repeats itself: the same documents, the same reminders, the same data moved from one place to another. The system takes that work over, and your staff keep the work that needs a person's judgement. We start with a review of your processes, so the first things automated are the ones that save the most time.

Example

Example: a fictional company and made-up data.

An automated process at a fictional equipment rental company
  1. Order confirmed

    In the CRM

  2. Contract generated

From a template and the order's data

  3. Sent for signing

    To the customer by email

  4. Reminder if not signed in 2 days

    By text message

  5. Manager's approval

    • Invoice issued

      When the manager approves

    • Sent back for changes

      When the manager returns it

  • The generated contract

    Rental agreement No. N-0412

    1 Oct 2026, Kaunas

    Lessor
    Aukštis Equipment Hire
    Lessee
    Fasadas Construction
    Period
    5–19 Oct 2026
    Amount
    €1,240.00 excl. VAT
    LessorLessee
  • The reminder

    Text message3 Oct 2026, 09:00

Reminder: rental agreement No. N-0412 is waiting for your signature. You can sign it here: example.com/n-0412

  • The approval

    Waiting for your decision

    Rental agreement No. N-0412

    Customer
    Fasadas Construction
    Amount
    €1,240.00 excl. VAT
    Signed
    3 Oct 2026, 15:12

The amount is over €1,000, so a manager approves the invoice.

What it covers

  • Process review: what is worth automating first and what it will bring
  • Documents generated automatically: proposals, contracts, invoices and reports
  • Reminders and notifications by email, SMS or in the app
  • Approvals: a request or document goes to the person responsible, and their decision is recorded in the system
  • Scheduled data transfers between systems (System integrations and APIs)
  • Task status across departments: who is responsible for what, and where the work has stalled

Who it suits

  • Every week your staff spend hours preparing the same documents and reports.
  • Reminders to customers and colleagues are sent by hand, so some go out late or not at all.
  • An order or request passes through several departments, and nobody can see which stage it has reached.

How the work goes

  1. 1We find out what you need
  2. 2We analyse and propose
  3. 3We design the solution
  4. 4We build in parts
  5. 5We test and launch
  6. 6We maintain and improve

Examples of our work

Invoices from the mailbox – straight into the books

2026

We built invoice intake from the mailbox: AI recognises supplier invoices, and clear rules book them with no manual work and never declare VAT twice.

Three separate checks stop duplicates.

TypeScript, Hono, Next.js, IMAP

Scheduling service visits through SMS and email links

2026

When a service request is created, the customer gets an SMS or an email with a link to a page where they can confirm, decline or move the visit.

Customers can confirm or move a visit themselves from a link.

TypeScript, AWS SMS, SMTP, MongoDB change streams

Accounting automation: from sale to i.SAF

2026Launching

Sales, cash receipts and purchases go from the business management system to a cloud accounting platform automatically – once each, and ready for i.SAF and the VAT return.

The process was tested on a full month of real data.

TypeScript / Node.js, MongoDB, accounting platform REST SDK, Jest

Integration with courier services

2026

Labels are printed straight from warehouse dispatches, pickups are booked, parcels tracked and returnable containers swapped, with parcel status updated every five minutes.

The new integration took over the parcels already in transit.

TypeScript, courier REST API, SQS, Jest

Business management system sync with Finvalda

2026Launching

Customers, sales, purchases, bank inflows and cash receipts go from the business management system to Finvalda automatically.

The client's network stays closed – nobody has to connect to it from outside.

Node.js / TypeScript, MongoDB change streams, Socket.IO, Finvalda API

Questions and answers

Which work should be automated first?

A review of your processes shows that. We list the repetitive tasks, estimate how much time they take, and automate first the ones that bring the most benefit for the least effort.

Will we have to replace the software we use now?

Usually not. We build the automation around your existing systems and connect to them through APIs or data exchange. We suggest a new tool only when the existing one can't do the job.

Can we change an automated process ourselves?

Mostly, yes: document templates, reminder timing and recipients can be changed without a developer. We make larger changes to the process ourselves.

Got a task or an idea?

Describe it in a few sentences – we'll reply and talk through how we could help.
